When you create an account or complete your profile

  • Email address, username, and password (passwords are stored in hashed form, not plain text)
  • First and last name, role, and profile preferences (where you choose to provide them)
  • Optional demographic fields (e.g. sex/gender, age group, year of study, intended use of ACTS)
  • Referral codes, institution or waitlist details if you submit them
  • Records of your acceptance of our Terms, Privacy Policy, and in-product data notices

When you use ACTS (including voice consultations)

  • Audio from your microphone during voice sessions, processed to enable speech-to-text and AI responses
  • Consultation transcripts, clinical notes you enter, and AI-generated client dialogue
  • Feedback, grading, OSCE-style scores, and progress data linked to your account
  • Usage and technical data (e.g. pages visited, features used, session timing, device/browser type, approximate IP address for security and analytics)
  • Voice-credit balance, subscription tier, and related account activity

ACTS is a simulated training environment. Do not enter real client, owner, or patient identifying information unless you are authorised to do so and understand the risks. We do not require real health records for training use.

When you pay for a subscription or contact us

  • Billing and subscription status processed via our payment provider (Stripe). We do not store full payment card numbers on our servers.
  • Information you send through contact forms, support requests, or email correspondence

3. How We Store & Protect Your Information

We store personal information on secure infrastructure with access limited to personnel and contractors who need it to operate the service. Measures include, where appropriate:

  • Encryption in transit (HTTPS/TLS) for data sent between your browser and our services
  • Hashed storage of account passwords
  • Authenticated API access for account-specific data
  • Monitoring and logging for security and abuse prevention

No method of transmission or storage is completely secure. You are responsible for keeping your login credentials confidential and notifying us promptly if you suspect unauthorised access to your account.

Consultation transcripts and feedback remain linked to your account so you can review and improve your skills. We retain information for as long as your account is active or as needed to provide the service, comply with law, resolve disputes, and enforce our agreements, after which we delete or de-identify it where practicable.

  • Provide, operate, and secure ACTS and our website
  • Authenticate you and manage subscriptions, credits, and referrals
  • Generate AI client dialogue, speech processing, feedback, and performance insights
  • Communicate with you about your account, billing, security, or support requests

  • Comply with legal obligations and enforce our Terms

We may use de-identified or aggregated transcripts and usage data to improve ACTS, including AI model quality, scenario design, and veterinary education research. We do not sell your personal information to third parties for their own marketing.

Explorer (free) accounts may see third-party display advertisements on some pages. Paid tiers are intended to be ad-free. We do not offer rewards or account benefits in exchange for clicking advertisements.

5. Third Parties & Overseas Disclosures

We use trusted service providers to run our platform. They may process personal information on our behalf and, in many cases, store or process data outside Australia (commonly in the United States). Categories include:

  • Cloud hosting and database infrastructure
  • AI, speech-to-text, and text-to-speech providers used to power consultations
  • Payment processing (Stripe)
  • Website analytics (Google Analytics / Google Tag)
  • Advertising (Google AdSense, for applicable free-tier pages)
  • Email and contact-form delivery services

We take reasonable steps to ensure overseas recipients handle information consistently with this policy and applicable law. When you use third-party sites or services linked from our platform, their privacy practices apply separately.

6. Your Rights, Choices & Complaints

Subject to applicable law, you may request:

  • Correction of inaccurate or out-of-date information
  • Deletion of your account and associated personal information, where we are not required to retain it
